Take 2 on this post (since the first one was completely lost in the server crash.) Sorry for the length, but this post includes alot of info. Please read all of it.
As many of you are aware, I am really pushing for a Diabetes Forum Meet and Greet. It appears that the location for the 2007 Meet and Greet will be in Las Vegas. That is 98.2% sure (with a .4% margin of error.) However, Vegas has one thing that many other locations don’t have, and that is hotel rates that fluctuate like the stock market.
If all goes through with Vegas the event will be held on a Sunday-Friday time frame. Friday and Saturday night in Vegas are expensive and many times the rates drastically increase, sometimes as much as 2x what a Sunday night would be.
Las Vegas right now is currently booking until the end of August. Therefore all of the following information is pulled from calendars based up until then and based off of current hotel rates on October 24, 2006. They may go up, they may go down. The good part is if they go down, as you only need a 7 day notice to cancel a hotel rate for most Vegas hotels.
The events that will take place during the trip are totally up in the air at this time. Some may even be determined by the date that people can attend. Keep in mind, you do not have to attend the entire time and you can come early or late if you want. The main event will just take place during a Sunday-Friday. There are numerous things to do in Vegas besides gambling and not all of them are expensive. I think some of the best things to do are to just walk the strip and stop in all the shops and hotels to check each one out. If possible, a trip to Hoover **** could be arranged so we could all have out dam photo taken.
Below is a graphical table of how rates change from April 1st till August 31st.

The following is now a table for those that like numbers showing what the average rate is during those 5 nights. Some weeks one night may be 50% higher than the rest, the following is an average though using a low level, mid-low level, and a mid level hotel.

If a person wants to stay at the King’s Suite in the MGM Grande, then they may. I just think everyone staying together would be a great idea so it’s easier to meet others. The reason the strip was chosen for hotels was because of it’s location to everything, but keep in mind, these hotels are not final. Just an visual idea of rates for the area.
Also, keep in mind if you are on a tight budget that you can make a week not available for that reason alone. I understand that. I just want to see what everyone is capable of doing and then I will put that in a table for who can make it. Also, keep in mind temperature as well, but remember, 100 degrees in Vegas is like 80 degrees in Florida. The weeks where you see an extreme price jump usually mean a convention is there, which means thousands upon thousands more people.
Now, here is the final task and the goal of this entire post. This is also why no poll is attached on this thread. Copy the table below and for each week add if you can, cannot, or might be able to make it. If only a might, specify please. Please don’t hesitate to vote.

Like I said in the chat, and SOME others agreed, May 13th would work price wise, weather wise, and crowd wise.
I can go anytime, but knowing Vegas like some of you do, you don't want to be there mid-summer!
My wife and I always go in September, which is similar in nature to the May conditions.

I thought may 13th was what was agreed apon? I hope this doesn't sound cruel but if people weren't able to make the chat they kinda have to accept the comittees decision or plea their case. If we don't say "This is the date" I don't think it will ever get settled.
The best reasons this should be the date:

It is what we decided, why step backwards.

I'm going to save some room and answer "might be able to" to all of the dates except 4/15, 4/29 and 5/6 - those are a definite no. My schedule is wide open otherwise, but it all depends on money, work and my 2007 on-call schedule, which I won't know for a couple of months. Planning ahead this far in advance is difficult for me so my presence is questionnable for any date. :dontknow:

I agree with both Spike & Brian. It seems like May 13 seems to work for most (& I just cleared it with hubby & Carwy), so it seems like that may be a good week to go. Also, as Brian said, no sense in back-pedaling if it's already mostly agreed upon. The biggest issue in planning these types of things are that many factors (including people's finances, schedules, etc.) may hinder their ability to go.

On you not being able to go in May, perhaps we can make a secondary date?? Don't know for sure, but something can work....or, maybe we could do the second one in St.Augustine/Orlando?? That'd be cool & a bit closer to home for you & some of the others.. :)

Probably once a year, but definitely not a total one time deal. It pretty much is all up to the interest level we get from the first one and what the actual turnout is. If the turnout is terrible, then it may just be up to people saying..."Let's do a weekend trip to Chicago, anyone just meet here." Hopefully, we have this every year.

Ummmm....not really sure. It seems that I'm taking the lead on this one with Tony OKing everything. Then Spike is helping out somewhat and when it comes to actually choosing a hotel, we need female perspective, so I think Camjen has stepped up for that one.

The first two posts were talking about a possible location. Vegas came up #1 on both, so I threw post #3 out there which was how many people would actually do a meeting in Vegas. Then in chats, Vegas just stood out the most to everyone.
As of right now.......10 people have posted their dates. And amazingly, all 10 have agreed upon the weeks of June 17 and June 24. I'll wait and see what more people say, but for May 13, only 7 people have said yes.

June 17th may be a good time for most of us, but again, we have to see what each person's life situation is like as time draws a little closer. I just think in these terms because in the past, I've dealt with Carwy's Cancer, and there have been times where we were unable to go to visit family, schedule times to do things, etc., due to doctor appts or treatments. Additionally, there have been others who have been sick, and who's to say if they'd be feeling up to par at the time of the gathering.
Perhaps the thing I've learned in life is to enjoy it & play it by ear. I've also learned that sometimes, being spontaneous is the best way to be, whether or not it fits everyone's plans. :)
Again, just thinking of the "big picture" here.

Times will change. Who's to say I won't have my first DKA in over 10 years the day my flight is suppose to leave? But, can we really plan around that now? No, but for most people, the more advanced of a notive they have, the better. At least in terms of getting money. I on the other hand just save money all the time, and all I need to get off work is 1 week's notice. So for me, I have no problem. But not everybody is me.
As for the spontanuity. Heck, if we did it sometime in November or December this year it would actually be pretty cheap. Like Circus Circus, right now they are giving $25 gas gift cards used at a large list of stations for every 2 nights you book. So who wants to go in a month? LOL

Those dates have an average high of 100 degrees and a low at night of about 75 degrees. Personally, still not that bad to me.

Good idea. Can a moderator Sticky this till the end of the month? And Bold and Color it as well, wait, this forum doesn't have that, but a sticky for a few days would be nice to make it more noticable.

I think that's what blew the polls before is multiple choice and not seeing the votes public. He got alot of response but we didn't know who voted for what.

Why does it matter who voted for what? We need the largest number of serious repondents to come to agreement on a date. It's not pertinent WHO choses what dates.

The reason for the multiple choice in the past was there are people like me. I'd go pretty much anywhere. So should I have not voted? Or just picked my favorite? That is why multiple choice was important. It works out better with multiple choice in a sense, which is partially why this thread is the way it is. If I made a poll with ONE option to choose from, then we might have 15 different choices because people picked their BEST weekend and not ones they are available to do.

Tony, she told me on MSN, basically, her June dates are now a No. So if you want to change them, go for it.
Looking forward to your votes. Right now we 12 voters, we have 5 dates with 11 votes and then 3 dates with 10 votes. I'm still hoping to get 20 voters before going forward with the poll for final date planning.

TOny, it doesn't matter about splitting them up. I just look for the last one on the spreadsheet I have, find their post, then go from there.
HOwever, if ANY dates are changed a person needs to PM me the specific change. As I see new people post on here, I update a spreadsheet I have. So if someone changes the past votes, it may not fully be reflected. So, I need PMs for any date changes.

I updated her. With these recent additions and changes we have 15 votes (if we can call them that) and 2 dates are tied for first (with 13 votes), 5 are in second (with 12 votes) and 1 in third (with 11 votes.) Still looking for the magical number of 20 total people before moving to a final poll.
